TERMS & CONDITIONS
The terms and conditions detailed below apply to all bookings made with Swan’s Nest Hotel, via the individual hotel website or by telephone or otherwise.
When you make a booking, your contract (which shall include these terms and conditions) will be with Swan’s Nest Hotel, Banbury Road, Bridge Foot, Stratford-upon-Avon CV37 7LT.
Dinner reservation times should be pre-booked. If your booking includes dinner, please contact the hotel direct to book your slot prior to completion of your online booking. Please note that the price being offered currently cannot be guaranteed should you not complete your booking at this stage.
All rates featured on Swan’s Nest Hotel website or quoted by telephone or otherwise are offered subject to availability and Swan’s Nest Hotel reserves the right to refuse any booking for good reason.
Swan’s Nest Hotel offers a choice of room only, bed and breakfast or dinner, bed and breakfast rates. All prices are subject to availability.
We offer a full range of packages and pricing, as detailed below. Our packages and pricing will fluctuate depending on availability and demand at any given time. All prices are subject to change without notice. Prices are subject to availability and are inclusive of VAT at the current prevailing rate. Your price is guaranteed once you have been given a confirmation number.
ADVANCE PURCHASE RATES
In general, our Advance Purchase rates are available 7 days or more before the date of arrival (exceptions may apply on selected dates), and are fully prepaid at time of booking. Advance Purchase Rates are non refundable and non transferable. The credit/debit card used to book the Advance Purchase rate must be presented to reception on arrival at the hotel. Please note that failure to do so will result in an alternative payment method being required. No cancellation or modification allowed. No show or late cancellation will incur 100% of amount of stay.
BEST FLEXIBLE RATES
Cancel or modify your booking before 11.59pm on the day prior to arrival to avoid charges. No show fee is rate of 1 night including VAT. Credit card guarantee. Please note that a validation charge may appear on your credit card statement.
20% OFF BEST FLEXIBLE RATES
Full prepayment will be taken at time of booking. This is non refundable and non transferable and replaces the standard terms and conditions. No cancellation or modification allowed. No show or late cancellation will incur 100% of amount of stay.
PROMOTION & PARTNERSHIP RATES
These rates will require a promotion code. Separate terms and conditions may apply which will take precedence over these standard booking terms and conditions.
For the avoidance of doubt, your price does not include any incidental charges which you may incur during your stay (including, by way of example only, in respect of your use of external telephone calls from your room). Such charges will be payable by you on your departure and, in the event that you fail to pay any such incidental charges, it is a condition of your contract with Swan’s Nest Hotel, that you irrevocably authorise Swan’s Nest Hotel, to debit your credit or debit card (see ‘Deposits and Pre-payments’ below) for the amount of any shortfall.
During peak holiday times and social events, certain rates may not be available. Certain dates may be subject to a minimum length of stay. All rates are subject to availability.
DELUXE ROOMS & SUITES
Deluxe rooms and suites may be available at a supplement per night. Generally these rooms offer more space. Family rooms may be available. Please ask for details at time of booking.
Individual guests using a double or twin room for sole occupancy (where available) may benefit from a reduced rate at the hotel. These rooms may carry a supplement each night. Please ask at the time of booking.
Children under the age of 12 can stay free at the hotel when sharing a room with two paying adults. Children from the ages of 12 to 15 years will be charged when sharing a room with two paying adults. Availability of suitable rooms is limited and portable beds may need to be used where such accommodation is sought. The hotel concerned will determine whether a room is suitable for the purpose of this offer.
GUESTS WITH IMPAIRED MOBILITY
The hotel offers a selection of accessible rooms for guests with impaired mobility. Guests with impaired mobility or other particular requirements should check in advance that their requirements can be met. Please call the hotel direct for details.
A selection of our rooms can accommodate dogs – please contact the hotel direct to book or check availability. Charge of £15 per dog per night. Maximum of 2 pets permitted per room. Please make sure pet’s waste is cleaned up. The guest accepts full responsibility for their pets. Swan’s Nest Hotel does not accept liability. Owner of the pet must be present and the pet must be removed or restrained whilst any hotel employee is in the guest room.
Pets are not permitted in the restaurant except for guide dogs.
Car parking is charged at £5 per day.
CHECKING IN AND OUT – ARRIVAL AND DEPARTURE
Hotel rooms are available from 2pm on the day of arrival. Rooms must be vacated by 11am on the day of departure, unless otherwise sanctioned at the discretion of the hotel manager.
Rates which include breakfast offer a full traditional breakfast with tea or coffee, unless stated otherwise. Rates which include dinner offer a choice from Le Pierre Bistrot’s menu. An allowance of £25.00 per adult is allocated towards dining from Le Pierre Bistrot’s menu. There is no refund for meals which are not taken by guests and lunch cannot be taken in place of dinner.

When you make your booking you will be asked to guarantee your booking with a valid debit/credit card if booked on Best Flexible Rate, or to prepay if booked on our Advance Purchase Rates, 20% Best Flexible Rates, partnership or promotional rates.
Group bookings are subject to our Group Terms & Conditions of business, which differ from our other rates. Please contact our Reservations team for further details.
BALANCE OF MONIES OUTSTANDING
Prior to your departure from the hotel you will be required to settle your bill.
On arrival you will be asked to produce a valid credit card for the hotel to take pre-authorisation. If you are settling your account in cash or with a debit card, you will be asked for a deposit to cover the cost of your room for your stay (any extras which you may incur in the hotel will not be chargeable to your room account). Swan’s Nest Hotel accepts all major credit cards, including MasterCard, Visa and American Express.
CANCELLATION & AMENDMENTS
All cancellations are made in accordance with the cancellation terms of the rate booked.
Advance Purchase Rates and 20% Off Best Flexible Rates are non refundable and non transferable and full pre-payment will be forfeited.
Best Flexible Rates may be cancelled up until 11.59pm on the day prior to arrival without charge, after which a charge for the first night’s accommodation shall be payable.
Promotion and Partnership rates may only be cancelled in accordance with the specific terms applying to that rate which will be advised at the time of booking.
A cancellation number must be obtained to ensure that minimum charges are levied.
Whilst every effort is made to fulfil any particular requests which you may make in relation to your stay with us, please note that these requests do not form part of our contract and we cannot guarantee that we will be able to meet any particular requests.
In the unlikely event that we have to change or cancel your reservation, we reserve the right to do so. However, you have the right to
- Accept the changed arrangements as notified; or
- Make alternative arrangements with another hotel; or
- Cancel your reservation and receive a full refund of any monies which you have paid to Swan’s Nest Hotel, in respect of your reservation (please note that we shall not be liable for any sums which you have paid to any other persons in connection with your reservation).
For the avoidance of doubt, we shall have no further liability to you for any changes to or the cancellation of any stay with us.
COMPLAINTS OR COMMENTS
Any complaint or comment regarding a stay at one of our hotels should be made in the first instance to the hotel’s duty manager at the time of your stay so that it can be resolved at the time.
Problems which cannot be resolved there and then should be notified in writing to the hotel’s General Manager and emailed to firstname.lastname@example.org.
Although every effort has been made to ensure the accuracy of the information set out on our websites and marketing campaigns, we cannot accept responsibility for any errors or omissions, and reserve the right to vary, amend, supplement or cancel any of the information or offers featured on our websites or email campaigns or otherwise at any time.
All details are correct at time of writing, however may be subject to change from time to time.
Swan’s Nest Hotel shall not be responsible for any loss or damage which you may suffer arising out of events beyond its control or the control of its suppliers (including, without limitation, fire, failure of electrical, gas or other power supplies, strikes, industrial action, terrorist activity, technical problems with transport, illness of entertainers and bad weather), nor for any curtailment, cancellation or change to any accommodation, activity or itinerary or any other consequences which arise as a result of such events.
For the avoidance of doubt, nothing in these terms and conditions shall operate to attempt to exclude or limit Swan’s Nest Hotel’s liability for the death or personal injury of any person caused by the negligence of Swan’s Nest Hotel, its employees, servants or agents or to attempt to exclude or limit Swan’s Nest Hotel’s, liability in any manner which would be unlawful.
These terms and conditions shall be subject to the laws of the jurisdiction in which the hotel you make your booking is situated.
